"Silvercrest AI understood something crucial: we didn't need more tools, we needed better processes. Thanasis and his team mapped our entire lead conversion journey and implemented targeted automation that saved us both time and money."

The assessment
The project began with an AI opportunity assessment. We interviewed the team, mapped the lead conversion journey as it actually ran and set it against the goal Tourix had set itself: a tailored proposal within a few days of the first meeting. The map showed where momentum disappeared. Meetings took place, but follow-ups and proposals waited for time nobody had, and each proposal started from an older one found in one of several template locations. We ranked the opportunities by impact and effort, from booking and reminders to prospect research and proposal drafting, and agreed a phased roadmap. One prerequisite became clear early: before proposals could move faster, the services themselves had to be packaged, with defined inputs, deliverables and pricing logic.

The challenge
Tourix is a digital marketing agency serving the tourism industry. Generating demand was not the main obstacle; moving interested prospects through meetings, proposals and contracts was. Information was spread across call notes and manual handovers, and preparing a proposal could take several weeks. We started with an AI opportunity assessment of the full lead-to-client journey, identifying the work that delayed the next conversation or decision.
The approach
The assessment connected several related needs: prospect research before a meeting, a useful record of the conversation, a clear match between the client’s needs and Tourix’s services, and timely proposal preparation. We helped structure the offer and the information needed at each step, then connected the repeatable preparation and follow-up work. The aim was to give the team a usable next step without losing the context of the prospect’s situation.
Keep the context from enquiry to proposal
Tourix needed a connected sales process, not a faster document in isolation. The assessment linked the information gathered before a call to the work that followed it.
Prepare prospect research and the meeting context. Booking and reminder steps reduce routine chasing.
Turn the call into a structured brief: needs, relevant services, actions and the agreed next step.
03
Use that brief and the structured offer to prepare the proposal and contract, with follow-up connected to the opportunity.
Our role went beyond connecting software
We mapped where the journey stalled, clarified the information each stage needed and connected the repeatable work. That gave the sales team more continuity between conversations, decisions and delivery.

The connected workflow developed from the process assessment.
The details
What we built
One entry point from enquiry forms into the CRM, with instant confirmation, a booking link and a team notification
Automatic reminders for leads who have not booked yet, and rescheduling for missed calls
A prospect research brief prepared before every first conversation
Call summaries turned into a structured brief with needs, relevant services and next steps
A service catalogue with standard packages, add-ons and pricing logic
Proposal and contract drafts built from the brief and the catalogue, reviewed and approved by the team before sending
Signing reminders and a notification when a new client is won
How the project ran
Weeks 1 to 4: AI opportunity assessment, process map, prioritisation and roadmap
Weeks 5 to 6: forms, CRM, booking, notifications and follow-up
Weeks 7 to 10: research briefs, call summaries, service catalogue and proposal drafting
Weeks 11 to 12: testing with live leads, refinements and handover to the team
The Results
What changed for the team
Proposal turnaround down from up to 30 days to 2 to 5 days
Five times the clients taken on in the same period, with the same team
Response time to new leads down by 50 to 60 percent
Sales cycle shortened by 40 to 50 percent
Services, pricing and add-ons standardised into clear packages
