WORKFLOW DETAIL
The opportunity
PDFs, scans and spreadsheets arrive with inconsistent names and no shared structure. We design an intake workflow around your existing property folders, document types and review responsibilities.
Built around your filing rules. Uncertain matches go to a reviewer, not silently into the wrong property folder.
THE WORKFLOW
A clear path from upload to review
01
Receive
Collect the authorised package and keep the original files unchanged.
02
Classify
Propose document type, property, file name and destination. Flag uncertainty.
03
Review
Approve the index and exceptions before files enter the agreed structure.
A clear review point before handover.
Unclear inputs return to a named owner. Approved work moves to the next agreed step, with the source and status still attached.
Starting point
A downloaded data room, an approved shared folder or an email intake. We agree the document classes, property identifiers, naming convention and destination before processing.
What you get
Proposed file names and locations, a document index and a queue of uncertain or missing information. Each result keeps a reference to the source file.
The aim is to reduce preparation work, not replace technical, financial or legal due diligence.
How we build it
We test a representative, authorised sample against your own folder structure. Review time, classification errors and exception volume determine whether a pilot is worth extending.
Existing document-processing demos provide a starting point. Integration and accuracy are validated for your documents before production use.
Your first step
We look at document volume, file quality, folder rules and the time your team spends preparing a review. That gives us a practical pilot scope.
No customer documents are required for the first conversation. A redacted sample can be agreed later.
