WORKFLOW DETAIL
The opportunity
Documents arrive, someone opens each one, finds the relevant fields and copies them into another tool. We build an intake and extraction workflow around a defined document family and destination.
Start with a repeatable document type and a clear owner. A single workflow for every possible file is rarely the right first project.
THE WORKFLOW
A controlled document-processing flow
01
Intake
Receive and identify the document. Preserve the original and detect duplicates.
02
Extract
Prepare the agreed fields with source references and validation checks.
03
Route
Send uncertain records to a reviewer and approved data to the right system.
A clear review point before handover.
Unclear inputs return to a named owner. Approved work moves to the next agreed step, with the source and status still attached.
Starting point
Choose an intake channel, the fields that matter and the system that should receive them. Include examples of poor scans, missing values and duplicate submissions.
What you get
The workflow prepares data, preserves a link to the original and routes uncertain cases for review. Approved records can then move to your CRM, spreadsheet or document system.
Review rules depend on the consequence of a mistake. A confidence score is not a guarantee of accuracy.
How we build it
We compare the current handling time with the time needed to review and correct the prepared data. Error rates, duplicates and unresolved cases matter as much as extraction speed.
Document-processing components and demos inform the design. Your document types and integrations are tested before a production commitment.
Your first step
We look at repetition, volume, review effort and the destination. The first project should remove a measurable task, not add another dashboard.
This approach is not limited to real estate. The design follows the document and the business process.
